Adding your people

Everyone in your business has a role. It decides what they can see and change. You will find all of it under People.

Role What they can do
Owner Everything, including the money and who else is an owner.
Admin All the day-to-day work, and can manage drivers and other admins.
Driver Their own round, and nothing else.

A business always has at least one owner. The last one cannot be demoted or removed.

Two rules sit on top of that table, and they are the ones people run into.

An admin cannot touch an owner. They cannot change one, remove one, or make one. An admin who could promote themselves to owner would be an owner.

The last owner is fixed in place. Make somebody else an owner first, and then the original can be changed or can leave.

The list shows ten at a time, and you can ask for more. Search narrows it by name or email address.

Each person shows whether they have two-step sign-in, and which kind. You cannot turn it on for somebody else, so treat No 2FA as a reason to ask them: their password is the only thing between anyone and your business.

Send the invitation to the address they will sign in with. They get an email with a link, and it works once.

Following it shows them who invited them and to what, before asking for anything. If they already have a Bottle account they sign in and join; if they do not, they pick a password first. Either way the invitation only works for the address it was sent to: signed in as somebody else, they are asked to switch rather than quietly joining the wrong person to your business.

The invitation also waits in Bottle itself. If they sign up with that address without following the link, then confirm the address, they see the invitation as soon as they sign in, at the top of the page and under the bell, and can accept or decline it there. If they decline, whoever sent it is told.

Invitations expire after 14 days. Under People you can see who has been invited and not joined yet, send it again, or take it back before it is used.

Resend issues a new link and sends it. The previous link stops working, which matters if the first one went to the wrong address or was forwarded.

Remove them under People. Their account stays theirs, along with any other business they belong to, and anything they connected to yours stops working immediately.

Your plan is charged by vehicles, not by how many people you employ: three vehicles might have six drivers between them and a temp on a Saturday, and charging by the head would have a yard sharing one login.

There is still a ceiling on how many people can sign in, set well above what a business of that size could staff. Starter carries ten and Round a hundred, counting everybody in the business and any invitation nobody has answered yet. Depot has none. How many vehicles a plan carries is on the Rounds page, next to the fleet.

Set up on their row records the vehicle they usually take, so a round planned for that vehicle puts them in the cab without anybody being asked. The office can still put somebody else in it for the day.

Their hours and break come from the shift pattern they work, set on the Rota: a round planned for them leaves at the start of that day’s shift and is planned to have them back before it ends. Somebody with no pattern gets the business’s working day under Settings. Hours typed on a driver before patterns existed are shown on the form, still apply until they have a pattern, and can be cleared there.

Holiday, sickness and cover are on the Rota too. A driver on holiday or off sick is not given a round.
