Price lists

Open Price lists under Selling to make price lists and choose which customers are on each. Only managers see the page. You can also reach it by searching for “price lists” or “prices”.

A price list gives a group of customers their own prices, such as Gold, List B or Pubs. Name it however you like. A customer is on one price list or none.

Each product holds all its prices, including its price on every list. See The price table.

The page lists each price list with how many customers are on it and how many products it prices. Select Open to see one.

Select Add a price list, give it a name and, if you like, a colour and some notes, and select Add price list. The new list opens straight away.

A price list’s page has its Prices, then the Customers on it.

Select Rename to change its name, colour or notes.

Prices shows each product with its Trade price and its price on this list. A product with no price on the list shows Same as Trade: its customers pay the Trade price. A product with quantity breaks on this list says how many.

To change a price, select Change beside the product. The product opens with its price table, where you change the list’s price and its quantity breaks.

To set every price at once, type a percentage in Set every price to trade price less, such as 10, and select Set prices. Bottle says what will happen first, then sets each product’s price on this list to its Trade price less that percentage. A product with no Trade price starts from its Consumer price. This replaces the prices already on the list. You can change any of them on the product afterwards.

Customers on the list shows who is on it. Search by name, and filter by Type (trade or consumer) and Price list: on this list, on no list, on another list, or any.

Tick customers, or tick the box at the top to choose everyone on the page. Where there are more on other pages, Tick all N matching customers chooses every customer that matches the search and filters. Then:

  • Put on this list moves them onto this list, off any other.
  • Take off this list takes them off, so they pay the Trade or Consumer price.

Before anything changes, Bottle says how many will move, such as “12 customers will go on Gold”, and how many are on it already.

A customer’s own agreed prices still come first. Where some of them have agreed prices on products the list prices, Bottle says how many and offers Also remove their own agreed prices on products this list prices, so the list prices apply. Leave it unticked to keep their agreed prices.

You can also move customers from the Customers list, or one at a time from a customer’s page. See Price list.

Select Archive on a list’s page. Bottle says how many customers are on it first. Archiving takes them all off the list, and they pay the Trade or Consumer price from then on. Orders already taken keep their prices.

For each product, Bottle uses the first of these that has a price:

  1. The customer’s own agreed price, set on the customer.
  2. Their price list’s price, set on the product.
  3. The Trade price for trade customers, or the Consumer price for everyone else.

Quantity breaks go with whichever price applies. A customer’s own agreed price can have breaks of its own, set on the customer. See Their own quantity breaks.

The quantity is counted across the whole order, so two lines of 19kg propane count together. A price typed on an order line still wins. See Prices on an order.
